Constellio

Your documents are everywhere.Your repository is one.

Constellio acts as the central repository for all the content in your organization: it locates and governs documents from other systems while leaving them exactly where they are. The question “where do I save this?” stops being a question.

HOW IT WORKS

Search. Gather. Classify. Retain.
On content that never leaves home.

Unifying is not migrating. Constellio indexes, references and governs what already exists in your systems: your teams keep working where they always have.

  1. 01 Search

    One query, five systems.

Search reaches Constellio, Teams, SharePoint, OneDrive and Exchange at the same time. No more digging through each system in turn, hoping to remember where the latest version was saved.

    • Centralized search across every repository
    • Results labelled with their source system
    • Optical character recognition on images
  2. 02 Gather

    One project, one folder.

Each project has a single folder bringing together documents from several sources. You keep editing them in their original system, and you manage them from that folder.

    • One folder per project, whatever the sources
    • Editing in the original system
    • Multiple references, no duplication
  3. 03 Classify

One plan for the whole organization.

Constellio builds a unified filing system from your organizational classification plan, and becomes the central repository of record for every document, no matter where the file is actually stored.

    • Filing built on your organizational plan
    • Duplicates and semi-duplicates caught
    • Granular security by rating and classification
  4. 04 Retain

    The lifecycle applies everywhere.

The retention schedule follows the classification plan: every linked document is retained or destroyed according to its expected lifespan, with no manual sorting fifteen years later.

    • Schedule applied systematically
    • Final dispositions triggered on time
    • Detailed logging of every action

Nothing moves unless you ask for it: what Constellio adds is a reference, not one more copy.

A SCATTERED PROJECT, PUT BACK TOGETHER

The files stay where they live.
The folder is here.

Follow a roadworks project whose documents live in five different systems: one search finds them, one folder gathers them, the classification plan files them, and the retention schedule gives them an end date.

  1. 01The search

    One query instead of five.

The engine queries Constellio, Teams, SharePoint, OneDrive and Exchange at the same time. Every result says where it came from, and not one byte moved to appear in the list.

    • Constellio, Teams, SharePoint, OneDrive, Exchange
    • Source shown on every result
    • Image content read by optical recognition
  2. 02The folder

    Results become a project.

The documents that matter are gathered into a single folder. The email stays in Exchange, the quote in SharePoint, the drawing in Constellio, but they are read, managed and found together.

    • One folder per project, fed by several sources
    • No file moved or copied
    • One document referenced in several folders
  3. 03The filing

The folder takes its place in the plan.

The folder is filed under a heading of the organizational classification plan. Along the way duplicates and semi-duplicates are caught, the latest version is identified, and the security rating applies to everything linked to it.

    • Heading from the organizational plan
    • Duplicates and semi-duplicates flagged
    • Security rating inherited by the content
  4. 04The lifecycle

An end date, decided up front.

The heading carries its retention schedule: two active years, eight semi-active, then a final disposition. The document follows that schedule whether it sits in Constellio or in another system.

    • Active and semi-active periods applied
    • Final disposition triggered on time
    • Every action logged and auditable

REAL-WORLD USE CASES

The scattered project,
and the version you thought was the only one.

Two problems that a pile of storage systems creates all by itself: a folder that has to be rebuilt every time, and copies alike enough to fool everybody.

For project teams

The folder exists, even when the files are elsewhere.

The quote is on SharePoint, the minutes in a Teams channel, the supplier thread in Exchange, the photos on OneDrive. One folder brings them together, and everybody keeps working in the application they know.

For information governance

Knowing which one is the right one.

Constellio compares content, not just file names: it catches duplicates and semi-duplicates, identifies the latest version, extracts metadata and personal information, and reads the text inside images through optical recognition.

Nine mechanisms on one repository

A REPOSITORY, NOT A MOVE

Everything converges here.
Nothing leaves its place.

The other diagrams on this site follow a document from one end to the other. This one goes nowhere: the systems stay where they are, and it is the reference, not the file, that travels to the centre, where the organization’s rules apply.

Unified search

One query reaches Constellio, Teams, SharePoint, OneDrive and Exchange at once. No more rummaging through each system separately hoping to land on the right copy.

Unified collaboration

A project folder brings together documents from several sources. Everyone keeps editing them in their original system, with nothing copied over.

Archiving and lifecycle

Filing is built on your organizational plan, and the retention schedule applies systematically to everything linked to it.

OUR KEY FIGURES

Fewer systems to search.
Fewer copies to choose between.

Searching five systems costs five times over: five interfaces, five result lists, and the constant worry of having opened the wrong version. A single repository removes the multiplication.

Why choose Constellio

Productivity

Access to information is faster: teams find instead of searching, and get back the time the hunt used to take.

Reliability

Automation and machine learning reduce manual entry errors on metadata and filing.

Flexibility

The platform adapts to your needs and your data volumes, whatever the size of the organization.

Collaboration

Several people contribute to the same content and make use of it, without stepping on each other or multiplying versions.
