Personal information protection policy of Constellio Intelligent Enterprise Content Management.
This personal information protection policy describes how your personal information is collected, used and shared when you visit the website https://constellio.com (the “site”).
Personal information collected
When you visit the site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone and some of the cookies installed on your device.
We also collect information such as users’ last names, first names, contact details, email address, phone number and company name when they submit a demo request or fill in the contact form.
In addition, we collect any relevant information from candidates applying for a position at Constellio, namely last name, first name, professional experience and contact details (email and phone number), as typically found in a résumé.
Finally, we also collect information such as the names of the people who represent our clients. This client information is typically the same as that collected in the second category above.
Use of your personal information
We use the device information we collect to help us detect potential risk and fraud (in particular, your IP address) and, more generally, to improve and optimize our site (for example, by generating analytics about how our customers browse and interact with the site, and to assess the success of our marketing and advertising campaigns).
Client information is used strictly to deliver the services Constellio provides to its clients, in accordance with the terms of the contracts signed between the two parties. Beyond this use, email addresses, whether collected when a contract is signed or when a form is filled in on the website, are added to a mailing list so we can share announcements of webinars, workshops and other content related to our services.
Behavioural advertising
As described above, we use your personal information to provide you with targeted advertisements or marketing communications we believe may be of interest to you. For more information about how targeted advertising works, you can visit the Network Advertising Initiative’s (NAI) educational page at http://www.networkadvertising.org/understanding-online-advertising/how-does-it-work.

Please note that your personal information may be transferred outside Quebec, including through Google Analytics.
Security measures
Client data may be shared internally with any active employee of the company when needed to perform tasks that deliver the level of service expected by our clients and management.
Your data is stored in a secure environment that uses proven SSL protocols to prevent any risk of theft.
In addition, access to this data requires multi-factor authentication, and only authorized people can view its contents.
When needed, we may engage external consultants for advisory work. In such cases, the external consultant must connect to Constellio’s servers through a recognized, secure VPN. A privacy impact assessment is also carried out whenever data is communicated outside Quebec.
Data and other personal information are kept according to the retention schedule adopted by Constellio, in accordance with applicable laws and regulations. Accordingly, any medium containing this data is destroyed when its retention period requires it, or anonymized in the case of permanent retention (all of which is kept in our main internal database to make this easy).
Security incident management
Constellio is committed to securing the personal information of its clients and employees; however, even with the best security measures, incidents can occur. In the event of a personal data breach, Constellio undertakes to follow the procedure required by law, including reporting the incident to the Commission d’accès à l’information du Québec (CAI). An internal register and procedure have been put in place for this purpose.
